Extensions

Note: Extension features are developed outside the normal release schedule to meet specific customer needs. To request one of these extensions, you must submit a Salesforce Service Request to UKG. After the extension is delivered to your tenant, you can edit it as required.

Business process extensions

  • Absence Management — The Absence Management extension helps customers remain in compliance by automatically generating case numbers for new absences, connecting new and previous absences (prolongation), and prompting for absence occurrence event dates, when applicable.
  • Accrual Payout Request — This extension allows employees to initiate a business process or workflow to request that an accrual balance be paid. Organizations can specify in the business process which accruals can be paid out, or can enforce mandatory remaining balances whether fixed or a percentage. This extension avoids the limitations of using time-off requests for accrual payouts.
  • Accrual Pool — Employees can donate accruals for distribution to employees who are impacted by extraordinary circumstances such as family emergencies, natural disasters, crime. Employees can donate a portion of their accrued leave to this pool, and the pool administrator allocates time or money from this pool to employees who need the aid. An accrual pool accumulates the time (hours or days) and monetary value of the accruals.
  • Auto Shifts — The Auto Shifts workflow extension automates shift changes in the Schedule Planner when employees work a shift in the rotation other than the one for which they are scheduled.
  • Awards Program — This extension allows organizations to automatically recognize and reward employees — right from UKG Pro Workforce Management™. Whether you’re looking to build trust equity or create a culture that embraces their people, Awards can help you keep turnovers low, drive productivity higher, and employees engaged.
  • Chile Punch Receipt — In compliance with legislation in Chile, the Chile Punch Receipt extension generates a digital punch receipt as proof that a punch was performed.
  • Contract Shift Swap — The Contract Shift Swap workflow eliminates required manual intervention by swapping the contract shift when employees use Employee Self-Service to swap a scheduled shift.
  • Copy Schedule — The Copy Schedule business process extension provides a quick and easy way to create future schedules by copying previous schedules assigned to a set of employees.
  • Direct Accrual Donation — Employees can donate a portion of their accruals directly to fellow employees, without manager intervention, by initiating the Direct Accrual Donation extension.
  • Document Attachment — Many organizations allow employees to submit absence requests using global time-off requests (GTOR). In some cases, supporting documentation is required to justify the absence request before it can be submitted for approval. This workflow extension offers a seamless user experience for providing documentation.
  • Employee Managed Work Locations — The Employee Managed Work Location extension empowers employees to manage their own job transfer sets.
  • Global Time Off Requests (GTOR) Validation Rules — This Business Process Extension provides you with more options to validate whether Time-off Requests are in accordance with local regulations; minimum and maximum taking limits that apply to the entire request; and restrictions on combining certain absences in one contiguous period.
  • Leave Time Request — The Leave Time Request extension enhances efficiency and transparency by facilitating leave management for employees while ensuring proper oversight by reviewers, who can be managers, leave administrators, attendance administrators, or specified users.
  • Multiple Reviewers Schedule Posting — The Multiple Reviewers Schedule Posting workflow replaces the Schedule Planner posting action with a process that initiates tasks for different stakeholders to review, and then approve or decline the generated schedule. The schedule remains unposted until all stakeholders in the organization have given their approval.
  • Print Schedule — The Print Schedule extension provides a quick and easy way to initiate a print job for a single schedule report directly from the Schedule Planner. Managers with access to reporting must have the preselected report included in their report profile to use this functionality.
  • Schedule Change Attestation — This Business Process Extension requires employees to attest to schedule changes when the changed schedule is different from the posted schedule, or the changed schedule is different from the contract schedule.
  • Schedule Post Acknowledgment — The Schedule Post Acknowledgment extension provides a way for employees to acknowledge that they have seen the posted schedule and agree with the content.
  • Shift Swap Work Rule Override — Employees can swap their scheduled shifts by way of employee self-service (ESS), and those shifts may be calculated differently from normal worked shifts. The Shift Swap Work Rule Override overrides the default work rule for the swapped shift with a more restricted work rule. This work-rule transfer can remove overtime, shift premiums, bonuses, or other items. Example: The resulting work-rule transfer override can remove premiums or bonuses.
  • Staffing Level-based Open Shift Validation — The Staffing Level-based Open Shift Validation business process evaluates staffing requirements to determine the appropriate action to take on open shifts that are generated by an employee's absence request approval.
  • Timecard Save Validation — The Timecard Save Validation process provides a framework that offers granular control over transactional data passed to the Workflow Engine by a manager who saves timecard changes.
  • Uber Incentives — The Uber Incentives Extension allows organizations to provide employee incentives to accept open shifts in the form of Uber Rides or Uber Eats vouchers.
  • Volunteer to Work or Leave Early — This business process gives employees the opportunity to volunteer to work extra hours or leave early to accommodate last-minute workload changes.

Integration extensions

  • Absence-Based Accrual Adjustment — The Absence-Based Accrual Adjustment integration extension is an automated process that adjusts employee accrual balances based on the number of calendar days that the employee is absent in a month.
  • Anonymization Tool — The Anonymization Tool removes, scrambles, or replaces all personally identifiable information from the Person Record when employees invoke their Right to be Forgotten.
  • Average Absence Calculation — The Average Absence Calculation integration improves the calculation of the average lengths of absence​s in time-off rules by excluding absences from the averaging period. Managers no longer need to make corrections manually. Also, this integration supports multiple averaging rules so that you can automatically compare and select the appropriate average calculation.
  • Better Off Overall Test — The Better Off Overall Test integration verifies that an employee did not get paid less in the Enterprise Bargaining Agreement (EBA) than the Industry-Award standard. It compares the actual paycodes with the agreement baseline paycodes from the timecard, and it generates the Payment Comparison Report.
  • Brazil Rounding Rules — The Brazil Rounding Rules integration encourages employees to minimize the deviations between their scheduled and actual punch times. Employee punches are rounded to match scheduled shifts when certain conditions are met; otherwise, punches remain in their original state.
  • Chile Audit Reports — In compliance with legislation in Chile, the Chile Audits Report extension generates multiple reports that employers provide to local authorities.
  • Dynamic Paycode Allocation for Activities — The Dynamic Paycode Allocation for Activities extension proportionally distributes absence hours on the occurrence date to activities worked during the same pay period.
  • Enhanced Staffing Dashboard — This integration generates, and then exports up to six weeks of staffing dashboard data to a CSV file.
  • Flexible Break Adjustment — The Flexible Break Adjustment integration adjusts breaks to allow employees flexibility when they take breaks and improve compliance with local rules.
  • GRIA Working Days and Weekends Compliance — The GRIA (General Retail Industry Award) Working Days and Weekends Compliance extension automatically applies penalty pay when an employee's actual hours violate specified scheduling rules.
  • HCM Employee Job Transfer Set Import — This integration pack imports or creates job transfer sets for employees from HCM.
  • HCM Skills and Certifications Import — This integration pack imports skills, certifications, or both from HCM by way of APIs to assign to employees.
  • Jours de Fractionnement — The labor law in France defines a legal period during which employees are encouraged to take a contiguous span of time as their main vacation. When situations arise that prevent them from doing so, employees are entitled to extra days of paid time; this is known as Jours de Fractionnement. This extension automatically validates whether an employee qualifies to receive Jours de Fractionnement, and then adjusts the accrual balance, as necessary.
  • Leave Loading — When taking annual leave, employees in Australia are entitled to an extra payment in addition to their basic salary. Typically, this extra payment is 17.5% and is called Leave Loading. The system calculates and this integration compares the extra amount with the payments that the employee would receive otherwise if they worked that period, including all projected shift or weekend premiums. The greater of the amounts becomes the extra payment.
  • Meal Penalties— Enterprise agreements can define that when a break rule is violated, ​employees are entitled to extra payments​ that are known as meal penalties. Each enterprise agreement defines its own set of meal penalties.​
  • Mexico 3x3 Overtime — In Mexico, the Federal Labor Law states that overtime is paid at least double, or triple, the regular pay rate when certain conditions are met. This integration calculates the appropriate overtime, and then displays the hours on the Totals tab in the Timecard.
  • Mobile Punch Time Zone Adjustment — This integration extension verifies the time zone of the scheduled locations and adjusts punches automatically and only for punches that are submitted from mobile devices.​
  • Mondayisation — In New Zealand, statutory holidays that fall on a Saturday or Sunday can be moved to the following Monday or Tuesday only for employees who normally do not work on the day of week when the holiday occurs. This change is called Mondayisation or Tuesdayisation. ​Employees who normally work on a Saturday or Sunday are paid a holiday premium but cannot move the day of the holiday.​​
  • Monthly Vacation Grants — This integration calculates monthly accruals to comply with vacation grant regulations in Finland.
  • Multi-week Workload Pattern — This extension provides organizations with a mechanism to roll-out a Multi-week Workload Pattern.
  • Optimized Modulation — The Optimized Modulation integration provides an automated way to optimize scheduled hours of contractual employees based on the forecasted demand while still adhering to the minimum and maximum working hours of each employee.
  • Overtime Exemption — According to the Fair Labor Standards Act (FLSA), Section 7(i) in the United States, employees in retail or service organizations who are paid by commission in whole or in part, do not earn overtime premiums. This integration verifies that all conditions for an overtime exemption are met and determines whether or not to allow the exemption. If the exemption is not allowed, the employee is paid the overtime premium automatically for the previous pay period.
  • Paid Sick Yearly Bonus Payout — The Paid Sick Yearly Bonus Payout extension automates the calculation and payout amount of an employee’s eligible bonus for remaining paid sick days at the end of a calendar year.
  • Pay Period Minimum Wage Top-Up — This integration determines whether an employee’s total earned wages for a pay period are less than the minimum wage that the employee is entitled to. If so, the integration adds the difference as a top-up to the employee’s Timecard on the last day of the pay period.
  • Pending Corrections Computation — The Pending Corrections Computation integration provides an efficient way to retrieve, review, and save pending corrections.
  • Press Ganey NDNQI Report — Press Ganey National Database of Nursing Quality Indicators (NDNQI) is a country-wide database in the United States with which participating hospitals share data related to direct nursing care hours. This extension extracts direct nursing care data from UKG Pro Workforce Management™ (UKG Pro WFM) into a specific format that complies with Press Ganey NDNQI requirements.
  • Prorated Accruals Extension — The Prorated Accruals integrations distribute accruals entitlements proportionally on the date of hire, contract change, or termination based on the number of remaining days in the reference accruals period.
  • Right to Rest — The Right to Rest integration ensures that a premium amount is paid when the employee agrees to work a scheduled shift which violates their right to rest.
  • Schedule Post Audit Report — In regions where a posted schedule is considered final and cannot be altered, the Schedule Post Audit Report extension provides organizations with details that prove whether the original shift start and end times remain unchanged.
  • Schedule Template Upload — Schedule templates assign shifts and jobs in a recurring pattern that makes a reusable, stable schedule that covers several weeks. The Schedule Template Upload integration rolls out or retracts a schedule template for selected employees at a location and for a time period. This integration imports the schedule template from a flat file (.csv).
  • Sickness Period Management — The Sickness Period Management integration extension automates the process of dividing an employee's sickness period into waiting, paid sick, and unpaid sick leave periods, with corresponding cascading duration paycode assignments.
  • Split Shift Premium and Spread of Hours Pay — This integration adjusts an employee timecard by inserting a money-type paycode with either a Split Shift Premium or Spread of Hours Pay.
  • Transfer Report to SFTP — This integration automates the transfer of reports to an SFTP site for applications to pick up for further processing or integration. This integration removes the need to manually download and move the reports with an SFTP application such as FileZilla.
  • Working Time Directive Report — The Working Time Directive (WTD) is health and safety legislation that protects employees from working excessive hours. The directive requires employers to track and report on the average amount of time employees worked during a configurable reference period. Typically, the maximum is 48 hours of excess time over 17 weeks. This directive is a law in the United Kingdom. The Working Time Directive Report integration exports the average worked or scheduled hours for employees based on the anchor date and the Working Time Directive rule that is assigned to the employee.

Combined business process and integration extension

  • Evidence Punch Attestation — In some countries, policies exist limiting full time employees to a specified number of worked hours each week. Punches from door access control systems, called Evidence Punches, are compared with corresponding In and Out punches from employee timecards. Deviations exceeding specific thresholds are flagged as exceptions in the timecard, and require that the employee provide justification for any discrepancies. The Evidence Punch Attestation extension supports this process.
  • Hours and Dollars Allocation — In organizations where two accrual types are used to reflect the state of an employee’s entitlement, the Hours and Dollars Allocation business process simultaneously deducts hour and money amounts when a time-off request is approved.
  • New York City (NYC) Overtime Cap — In New York City, the Citywide Agreement limits overtime cash payments for certain employees when their annual gross salary exceeds a cap amount. Employees receive compensatory time off in lieu of cash.When an employee is exempt from the Citywide Agreement, the employee can request a waiver that provides overtime cash payments for the entire calendar year or for a specified number of hours in the calendar year — instead of time-compensated overtime. The New York City Overtime Cap (NYCOTCAP) extension delivers an integration and workflow that support employees who qualify for overtime waivers.
  • Open Shift Pay Incentive — The Open Shift Pay Incentive integration extension automatically offers incentives to employees for working open shifts. Incentive premiums, which range from monetary amounts to overtime pay, are based on how early a shift is accepted. Early acceptance results in higher incentive values, which automatically decrease as the date of the open shift approaches. By encouraging employees to accept open shifts as soon as possible, the schedule is fully staffed more rapidly.
  • Religious Holiday Adjustments — The Religious Holiday Adjustments extension increases efficiency and maintains compliance for organizations during religious periods, by eliminating the need for manual adjustments to labor-related activities.
