Timecard indicators
The timecard contains a number of indicators and icons to help guide you to where you want to go.
Adds a blank row after the selected row (hourly timecard only). | |
Deletes the selected row (hourly timecard only). | |
A comment has been added. | |
A note has been added. | |
A schedule transfer has been made. | |
A punch or paycode has been edited by someone other than the employee. The corresponding glance provides the name of the person who made the edit. | |
Displays in the Date cell (hourly timecard) or Project cell (project timecard) to indicate that the timecard was edited after the pay period was signed off (historical correction). | |
Displays in the In or Out cell (hourly timecard) or date cell (project timecard) to indicate that an edit was made after the timecard was signed off (historical correction). | |
Overtime is reviewed or approved. | |
Overtime is pending. | |
Timecard changes are pending. | |
In a project timecard, if there is pending overtime and comments exist for an exception, then the Action Required |

An on-call shift is scheduled. | |

Depending on how the timecard is configured, timecard edits waiting for manager approval may not appear in the timecard, but the View Pending |
For employees whose approval method enables multiple timecard approvers, this icon indicates the time the manager can approve. |
The status box, which consists of three colored bars.

When the employee approves his or her timecard, the leftmost bar (brown) changes to solid brown and a brown line appears along the left side of the timecard. | |
When the manager approves the employee's timecard, the middle bar (purple) changes to solid purple and a purple line appears along the left side of the timecard. |

When the manager signs off the employee's timecard, the rightmost bar (gray) changes to solid gray and a gray line appears along the left side of the timecard. |
|
If your timecard has been setup with accessible options, instead of the three bars, the approval and sign-off indicators appear as three circles. | |
All days approved by employee | |
Partly approved (multiple managers) This indicates that there are multiple approvers for the timecard and only some of the managers have approved the time that belongs to them. This indicator only appears if the timecard has been configured to show it. |

All days signed off | |
A transfer has been made. | |
Action is required. You need to address an exception, overtime, or pending timecard change. | |
More information that is not visible at this level is available. | |

List View — Changes the timecard view from table to list view. Toggles with Table View | |
Table View — Changes the timecard view from list view to table view. Toggles with List View. | |

Reduce the size of the entire table and add-ons by using Zoom to see more content.

Show Shift Details — Shows hidden system-generated schedule segments (such as breaks or transfers). |

Hide Shift Details — Hides system-generated schedule segments (such as breaks or transfers). When shift details are hidden the timecard is read-only. |
|
Approve — Indicates that the timecard is complete, accurate, and ready for signoff. After the timecard is signed off, you cannot remove the approval. |
|
Remove Approval — This indicator becomes active after you approve a timecard so you can remove an approval to make edits. After the timecard is signed off, however, you cannot remove the approval. | |
Remove All Approvals — (Managers only) This indicator becomes active after a timecard is approved. This option removes all manager timecard approvals so that edits can be made to the timecard. After the timecard is signed off, however, you cannot remove approval. Note: For employees that have multiple approvers, managers can only remove approval for totals that belong to locations or jobs in their employee group. |

Add New — (Project view only) Opens the Project panel so you can add a new project. | |
Sign-Off — Signs off employee information and indicates that the timecard is ready for payroll processing. | |
Analyze — Open the Rule Analysis Report ( |

View Moved Amounts — Opens the View Moved Amounts panel, where you can view or delete moved amounts for the selected timeframe. | |
Accrual Actions — The Accrual Actions menu can include the Reset Accruals, Move Accruals Amount, and Pay Out Accruals Amount (managers only) options, depending on the user's FAP access. | |
Remove Sign Off — This indicator becomes active after you sign off a timecard so you can remove a signoff to make edits. | |
Rounded Punches — Punches in the timecard appear according to the rounding rule in your assigned work rule. When viewing rounded punches the timecard is read-only. | |
Actual Punches — When viewing rounded punches, select this option to view actual punches. | |
GoTo — Opens the Schedule, People Information, Attendance Details, or Reports for the selected timecard. | |
Share — Select Print from the menu to print the timecard. |

Calculate Totals — Forces the timecard to calculate totals. After you calculate totals, Calculate Totals turns blue |

Save — Saves the displayed timecard. After you save your timecard, the Save icon turns blue |
Approve — Indicates that the timecard is complete, accurate, and ready for signoff. | |||||||||||
Sign off — Signs off employee information to indicate that the timecard is ready for payroll processing. | |||||||||||
Action Required — Display only on days where action is required to address an exception or overtime. | |||||||||||
Rule Analysis — Opens the Rule Analysis report so you can review how the system interprets pay rules, work rules, and other factors in its calculations. | |||||||||||
View Moved Amounts — Opens the View Moved Amounts panel, where you can view or delete moved amounts for the selected timeframe. | |||||||||||
More Actions — Opens a panel that enables you to:

Refreshes the timecard. If you have unsaved changes, they are deleted. |
Cells and text in the timecard sometimes have colors with meaning.
Yellow background | Timecard approved by employee but not by manager. | |
Light purple background |
Timecard approved by manager but not by employee. Note: If a timecard has multiple job approvers and your timecard settings are configured to only show shading for approved jobs, then only the jobs that have been approved are shaded. Jobs that have not yet been approved are not shaded. |

Green background | Timecard approved by both employee and manager. | |
Gray crosshatch | Timecard has been signed off. | |
Blue background | Totals. Totals cannot be edited. | |
Black | Used for all events in the timecard that are not system-generated. | |
Purple | System-entered text that can be modified. For example, a system-entered paycode for missing time. |
