Scheduling
In the Scheduling section of People Information, you can enter or modify information in the Skills & Certifications, Scheduler, Employee Preferences, and Manager Role-Scheduler groups.
Skills and certifications displays for employees with a Scheduler license. They are used by the Call List in the Schedule Planner to assist the scheduler in assigning the most qualified person to a job.
Skills are specialized abilities, such as speaking a language. A certificate involves a skill that requires a license or registration of some sort; for example, CPR or operating a machine.
Select a Skill, Proficiency Level, Status, and Effective Date.
Select a Certification, enter the certificate Number, Proficiency Level, Grant Date, and Expiration Date.
Specify scheduler items for an employee.
- Worker type — Select a type; for example Full Time, Hourly, Part Time, and so on.
- Standard hours — Enter daily, weekly, or per pay period.
- Group Assignment — Assigns the employee to a schedule group.

The following options on the Scheduler page require a Scheduler license.
- Schedule Rule Set — Contains restrictions and requirements about the jobs, number of hours, and which shifts and days the employee can work. If the employee is assigned to a schedule that violates a rule, a schedule rule violation displays in the Schedule Planner.
- Shift Template Profile — Specifies the name of the shift template Data Access Profile (DAP) you want to associate with the employee, if any. The shift template Data Access Profile determines which shift templates are available for employee self-schedule requests.
- Minors — If an employee’s birth date indicates that the employee is a minor and is not an emancipated minor, and he or she is not assigned to a Minor Rule Set or School Calendar, then the Schedule Generator does not schedule the employee to any shifts.
- Minor Rule Set — Assign to an employee between the ages of 14 to 17. Minor rules (Setup > Scheduler Setup > Rule Sets) cover rules about the hours that an employee can work outside of school time.
- School Calendar — For students aged 14 to 17, select the calendar that applies to the school that they attend. For students aged 19 and older, select a School Calendar Profile on the Manager Role - Scheduling page.
- Emancipated Minor — Select if the employee is an emancipated minor.
- Process Predictive Scheduling Changes — By default, predictive compensation is paid to all employees when the process is enabled. You can configure the system to specify whether predictive compensation is paid out for a specific employee.
- Select one of the following:

Note: This field can only be blank when no value has been assigned. Once you have set it to True or False, it cannot be set to blank again.
- True: Enables the predictive scheduling process for the employee, as of the specified Effective Date.
- Blank (Default): When left blank, the system behaves as if it were set to True, but you cannot select an Effective Date. The system uses the current date for the Effective Date.
- False: Disables the predictive scheduling process for the employee, as of the specified Effective Date .
- Specify the Effective Date.
- When a shift that is in the past is edited, the system uses the date when the shift started as the Effective Date.
- When a shift that either starts today or on a date in the future, the system uses the date that the edit was made as the Effective Date.
- Predictive Scheduling Rule Override — By default, a predictive scheduling rule assigned to a location is applied to all employees working at that location. You can configure the system to apply a different predictive scheduling rule for an employee when they work a job that has a predictive scheduling rule applied through a location profile.

Note: Process Predictive Scheduling Changes must be set to either True or blank to use the Predictive Scheduling Rule Override.
- The shift that is being created, modified, or deleted is for a job that has a location profile that includes a Predictive Scheduling Rule.
- The employee is eligible for predictive pay, as configured in their People Record.
- The employee has a Predictive Scheduling Rule Override that is effective on the current day.
- A blank row indicates that no override has been assigned to the employee.
- An override set to <None> is equivalent to leaving the override blank.
- To set an end date for an override, add a row below the current override rule, set the rule in the new row to <None>, then set the Effective Date as the date for the override to no longer be in effect.
- To delete the override, click Delete Row. You can only delete the override if the Effective Date is in the future.
- To view the predictive scheduling override history for the employee, select History
, then select Predictive Scheduling Rule Override. Each rule override is shown with its start date and end date. - When a shift that is in the past is edited, the system uses the date when the shift started as the Effective Date.
- When a shift that either starts today or on a date in the future, the system uses the date that the edit was made as the Effective Date.
If the schedule group is configured to Allow Schedule Inheritance, employees inherit shifts and paycodes from the assigned schedule group.
For schedule groups with inheritance, employees do not inherit shifts and paycodes when those entities are contained in, or span the day divide of, their signed-off period. However, any shifts or duration paycodes that have a start time that occurs after the signed-off period are inherited. Non-duration paycodes are not inherited on a partially signed-off day.
For example, if an employee has a day divide of 9 PM, and his signed-off period ends at 9 PM Monday November 7, they only inherit shifts and duration paycodes that have a start time of 9 PM Monday November 7 or later, and inherit non-duration paycodes after the signed-off day.
The Effective Date is the date on which predictive scheduling processing takes effect for the employee or on which predictive scheduling processing is no longer in effect. It references the date that edits are made to the schedule and not the date of the scheduled shift. The Effective Date can only be set to a date in the future (tomorrow or later); it cannot be set to the current date or a past date.
For example, if you disable the predictive scheduling process for an employee, and specify an Effective Date of 12/1/2021, any schedule edits made prior to 12/1 (regardless of the scheduled shift date) are processed through Predictive Scheduling.
When shifts are edited, the Effective Date of the Predictive Scheduling Rule is determined by the system as follows:

Note: When the global setting for this process (global.PredictiveScheduling.enabled) is set to false (the default), the process is disabled and this table does not appear in People Information. For more information on predictive scheduling, see the Configure Predictive Scheduling online help topic.
The Predictive Scheduling Rule Override table shows overrides that are in effect now or in the future.
The system evaluates the Predictive Scheduling Rule Override for shift actions when the following conditions are all met:
To specify an override rule, select a predictive scheduling rule from the list and specify the Effective Date — the date on which the predictive scheduling rule override takes effect for the employee. The Effective Date can only be a date in the future (tomorrow or later); it cannot be set to the current date or a past date.
When shifts are edited, the Effective Date is determined by the system as follows:
When an override is in effect, the Predictive Scheduling tag associated with the Predictive Scheduling Rule Override defined for that employee displays for the employee in the Schedule Planner. Shifts for the same job that are worked by different employees are evaluated differently for predictive rules based on the configured override.
Override Employee Preferences in Schedule Generation Strategy — Select this option to override the employee's preferences. This affects only the specific employee’s preferences. Enter a weight for each preference. The total must add up to 100. Preferences include:
- Preferred Availability
- Preferred Job
- Preferred Hours Per Week
- Preferred Day Off
- Most Hours Per Week
- Earliest Shift
- Longest Shift
Preferred Zone Category — If the employee works in a location that uses a workload plan by schedule zones, select his or her preferred zone category and preferred zone.
Assign scheduling-related profiles that control manager access to the following:
- Schedule Group Profile — Contains a number of employees who have similar working arrangements. You can select all or some of the employees in the group and assign them the same schedule, add a shift, or replace or extend the time of an existing shift as a single operation.
- Shift Template Profile — A group of shift templates that are available to a user. A shift template is a shift with all its segments that you can assign to multiple employees and reuse it as needed. Shift templates save time if you have employees who work standard shifts.
- Pattern Template Profile — A series of shifts and paycodes that is saved with a name, but without dates or assigned employees. Assign the pattern to employees and reuse it as needed.
- Availability Template Profile — A series of availability settings for a recurring time period. Associate availability templates with locations in the organization and directly with employees. If a location has an associated availability template, all employees whose primary job is in the location share that availability. Employees can have their own availabilities that override the location availability.
- School Calendar Profile — Limits the school calendars that a scheduling manager can select. Group school calendars into school calendar profiles and assign the profiles to scheduling managers.
- Forecast Category Profile — Controls which forecast categories a manager can see and assign.
- Schedule Generator Option Set Profile — Limits the Schedule Generator option sets that a scheduling manager can select. Group option sets into option set profiles to assign to scheduling managers.
- Hyperfind Schedule Visibility Profile — Defines sets of Hyperfind queries that managers can select.

You can override any schedule rule in the employee’s current Schedule Rule Set (assigned on the Scheduler page).
- Select the rule in Schedule Rules. One or more parameters for the selected rule display below the table.
- Specify the rule parameter values.
- Enter the Effective Date and Expiration Date.
- Click Tap Save.
The Value column displays the parameter values as you enter or select them.
To view changes to the Schedule Rules, select View Audits.
The rules engine uses the following logic when validating weekly rule overrides:

When the date range covers the entire week, the engine uses the override value.

When the date range covers only a portion of the week, the engine uses the most restrictive value configured for the rule set and the override values.
For example, if the week ranges from Monday to Sunday, setting the expiration date to Sunday means that the rule is not in effect on the Sunday. In other words, the expiration date always needs to be the last day of the active period +1 day.
Schedule Rule Set Optimization Override — The selection overrides the assigned Schedule Rule Set on the Effective Date.
