The system uses day types to identify the type of day so that it can process accruals correctly. Because time-off requests can span scheduled and unscheduled days, the requests can affect accruals.
For Example: A time-off request for several weeks spans weekends when the employee may not be scheduled to work.
Types of absences
Different types of absences affect accruals according to the type of day.
Examples:
- Vacation — Accrual of 25 days each year for both full- and part-time employees
For a full-time employee who works from Monday to Friday, 1 vacation day from Monday to Friday deducts the accrual balance by 1 day. Saturday and Sunday have no impact on the accruals.
A part-time employee who works only on Saturdays and Sundays accrues the same number of vacation days. However, a “1-week” vacation, which really means Saturday and Sunday off, deducts the accrual balance by 5 days. The equivalence value of 1 vacation day on a Saturday or Sunday shift is 5 / 2 = 2.5 days.
- Sick — Deduct accruals based on the calendar week:
For an employee who is sick from Monday to Friday, the accrual balance is deducted by 7 days.
Lengths of work days
Different lengths of work days can affect accruals.
Example: An organization has employees who work:
- Five 8-hour days each week
- Four 10-hour nights each week
However, both types of employees accrue the same number of vacation days.
If an employee requests a one-week vacation, configure day types and equivalence values so that the system deducts 5 accrued vacation days for both types of employee.
- For the day employees, configure the day type to have an equivalence value of 1.
- For the night employees, configure the day type to have an equivalence value of 5 / 4 = 1.25 days.
Configure Day Types
Step 1: Edit the FAP
Administrators or managers who configure adjustments of accrual values by day type need the following access in their function access profile.
- Click Tap Main Menu
> Administration > Application Setup > Access Profiles > Function Access Profiles. - Select the profile. Click Tap Edit.
- Click Manager—Common Setup.
- In Day Type Equivalence Values > Edit, select Allowed so that administrators or managers can configure adjustments of accrual values by day type.
- Click Tap Save & Return.
- Make sure that the access profiles are associated with the relevant people. If you don't have access to People Information, contact the administrator who does have access.
