Include On-Call Shifts in Requests to Cover

The Request to Cover request type allows a scheduled employee to find a replacement to work a shift. The requesting employee can choose fellow employees (candidates) to receive the request. If another employee has an on-call or standby work rule, that employee is included in the list for selection. When the request is approved, the on-call shift is replaced or partially replaced by the assigned shift.

The goal of including on-call shifts is that these employees are already available for work and are being paid, and you get a selection of more employees who can cover a shift.

  1. Configure a work rule for on-call shifts as follows:
    1. Select Main Menu > Administration > Application Setup> Pay Policies > Work Rule Building Blocks > Work Rules.
    2. Create or edit a work rule according to the Work Rules topic.
    3. Assign the work rule to a work rules profile and assign that profile to employees.
  2. Turn on the Feature Switch as follows:

    1. Select Main Menu > Administration > Application Setup > System Configuration > Feature Switch.
    2. Select the Attach a Work Rule Profile to Request to Cover feature switch.
    3. Click Tap Edit .
    4. Select Yes to enable the Feature Switch:
    5. Click Tap Save.
  3. Edit the Match by Current Shift matching rule as follows:

    1.  Select Main Menu >Administration > Application Setup > Scheduler Setup > Sorting and Matching > Rules.
    2. Create or edit a matching rule.
    3. In Context, select Matching Assignments.
    4. In Match By, select Current Shift.
    5.  Select the following: 
      • Allow Multiple Shifts per Day
      • Allow Overlap
      • Work Rules Profile — You can configure this rule to include shifts that have a specific work rule. Employees who are assigned shifts that match this work rule can be included in the call list, and the list of eligible employees for shift-swap requests or requests to cover. Select a work rules profile for on-call shifts.
      • Presence Work Rule — Select Mandatory.
      • Apply Presence On Overlap — Select one of the following:
        • Not considered: Do not verify whether the shift with the work rule and the shift to assign overlap; the shift can be assigned regardless.
        • Within Work Rule Boundaries: The employee must already have a shift with the work rule on the day that overlaps the shift to assign. Only the shift segments that overlap can be assigned.
        • Within Work Rule Boundaries and Unassigned Time: The employee must already have a shift with the work rule on the day that overlaps the shift to assign, or not be assigned any shift. The shift segments that overlap and any unassigned time can be assigned.

          Example:

          Within Work Rule Boundaries and Unassigned Time is selected, and you need to cover a shift from 8 am to 5 pm and you want to include employees who are assigned shifts with an on-call work rule.

          • Employee 1 is assigned a shift from 8 am to 5 pm but with no work rule. This employee cannot cover the shift because their current shift is not on-call.
          • Employee 2 is assigned a shift from 8 am to 5 pm with an on-call work rule. This employee can cover the shift.
          • Employee 3 is assigned a shift from 5 pm to 1 am with an on-call work rule. This employee cannot cover the shift because there is no overlap.
          • Employee 4 is assigned a shift from 12 pm to 5:30 pm with an on-call work rule. This employee can cover the shift and is available to work the extra half hour from 5 to 5:30 pm.
          • Employee 5 is assigned a shift from 8 am to 5 pm but with a different work rule. This employee cannot cover the shift because their current shift is not on-call.
          • Employee 6 is not assigned any shift at that time. This employee can cover the shift.
    6. Click Tap Save.
