Exception Tile (Manage Timecards Tile)

The Exception tile (Manage Timecards tile) provides a way for managers to easily review and manage exceptions for multiple employees before approving timecards. Exceptions are grouped into categories. Each category appears as a slat on the tile and includes information, such as the number and type of exceptions, and (if configured) actions managers can take to resolve exceptions and approve timecards.

The default exception tile is called the Manage Timecards tile. This tile can be edited (except for the name) but cannot be deleted. Additional exception tiles can be created and edited. The exception tile a manager views is assigned in their display profile, and the tile is assigned to a manager's Home page.

Note: To configure an exception tile (and exception categories) you must have Exception Category and Tile Setup set to allowed in your function access profile.

Configure an exception tile

  1. Click Main Menu > Administration > Application Setup > Display Preferences > Exception Tiles.
  2. Click Create to create a new exception tile, or select an existing exception tile and click Edit .
  3. Enter a Name and, optionally, a Description.
  4. Select the Default Pay Period. This is the default pay period for the tile (managers can change the pay period from the tile).
  5. Select the Default Hyperfind. The default hyperfind defines the employees that are included on the tile.
  6. For Exception Categories, select the categories to include on the tile. Each category appears as a slat on the tile. The Current Assigned list includes the categories that are currently assigned.
  7. To add a category, select the category and click Assign .
  8. To reorder categories:
    1. Click Re-Order Selection.
    2. Select the category you want to move.
    3. Use the arrow buttons to move the category to the desired location.
    4. Click Save Order.

  10. For the Pending Changes category, which includes employee timecard edits that require manager approval, select:
    • Visible? — Select True (visible on the tile) or False (not visible on the tile).
    • Display Label — The default label is Pending Changes. Edit as needed.
    • Color — This color is used to display the total number of pending changes. The system generates a lighter background color based on the color you select that complies with accessibility standards to ensure readability. To change the color, click the color and select a color using the color picker or enter a code value (HEX or RGB, for example).
  11. For Selected Types, select the types of pending changes to include for the Pending Changes category.
  12. For the Clean Timecards category, which includes all timecards that do not have exceptions or pending changes, select:
    • Visible? — Select True (visible on the tile) or False (not visible on the tile).
    • Display Label — The default label is Clean Timecards. Edit as needed.
    • Color — This color is used to display the total number of clean timecards. The system generates a lighter background color based on the color you select that complies with accessibility standards to ensure readability. To change the color, click the color and select a color using the color picker or enter a code value (HEX or RGB, for example).
    • Previous Pay Period Actions(s) — Select to display the Approve All button (Approve All) or not (None).
    • Current Pay Period Action(s) — Select to display the Approve All button (Approve All) or not (None).
  13. Note: Managers need the Group approval of timecards - Add function access control point set to Allowed in their FAP to take action with the Approve All button.
  14. For ALL TIMECARDS, select the action for the link used to display the Employee Timecards page:
    • Navigate to all the timecards of manager's employees — Link opens the Employee Timecards page with all of the manager's employees.
      • For UKG Pro Workforce Management™ Release 9.02 and later, this link appears as an icon () displayed at the top right of the tile.
      • For UKG Pro Workforce Management™ Release 9 and earlier, the link is displayed as All Timecards at the bottom of the tile.
    • Navigate to the exception timecards (across all categories) for the employees — Link opens the Employee Timecards page with only the manager's employees that have exceptions. Link text on the tile appears as Unresolved Timecards.
      • For UKG Pro Workforce Management™ Release 9.02 and later, this link appears as an icon () displayed at the top right of the tile.
      • For UKG Pro Workforce Management™ Release 9 and earlier, the link is displayed as Unresolved Timecards at the bottom of the tile.
  15. Click Save.
